Terms & Fees

1. Who these terms are between

These terms are an agreement between Med-Legal (“Med-Legal”, “we”, “us”), the provider of the service at med-legal.co.uk, and you or the firm you represent (“you”). The service is for professional, business use by UK legal practices and those working on their instructions. By creating an account you confirm you have authority to accept these terms on behalf of your firm.

2. The service

Med-Legal lets you upload sets of medical records and generate two kinds of output: a Medical Summary (a chronological, source-cited summary) and an Indexed & Paginated Bundle (a navigable, paginated case file with an index, chronology and bookmarks). Every fact in an output is traced to its source page and quote-checked in code. We may improve, change or add features over time.

3. Your account

You must give accurate registration details, keep your login secure, and not share your account. You are responsible for activity under your account. You can sign in with email and password or with Google or Microsoft. We may suspend an account we reasonably believe is being misused or used in breach of these terms.

4. Your authority to upload records

This is important. By uploading medical records you confirm that you are lawfully entitled to do so — that your firm is instructed on the relevant matter, has a lawful basis and an appropriate Article 9 condition (typically the establishment, exercise or defence of legal claims) for processing that health data, and has met any duty to inform the data subject. You remain the controller of the records you upload; we process them only as your processor, on your instructions, to provide the service (see our Privacy Policy and Data Processing Agreement).

5. Fees & units

The service is pay-as-you-go, priced in units. There is no subscription and no lock-in.

• A Medical Summary costs 1 unit.
• An Indexed & Paginated Bundle costs 4 units.
• Units start at £25 each and fall to as little as £8 each on larger packs (automatic volume pricing — the exact rates are shown on the pricing section and at checkout).
• Your first 10 units are free, with no card required, so you can test the service on a live file.
• A unit is only consumed when an output is generated successfully. If a generation fails, the units are automatically refunded to your balance.

All prices are in pounds sterling (GBP). VAT is added at checkout where applicable.

6. Payment

Payments are processed by Stripe; we don’t see or store your full card details. If you switch on automatic top-up, you authorise us to charge your saved card to buy more units when your balance runs low, on the settings you choose; you can turn this off at any time in your account. Purchased units are non-refundable once spent, but unused purchased units don’t expire while your account is open.

7. Acceptable use

You agree not to: upload records you are not entitled to process; upload anything unlawful, or malware; use the service other than for legitimate medico-legal work; attempt to reverse-engineer, scrape, overload or circumvent the platform; resell the service as your own; or use it to provide a competing service. We may suspend or remove content or access to protect the service or comply with the law.

8. AI-assisted output — important limits

You must read and accept this section.

• Outputs are produced with the assistance of artificial intelligence and are drafts, not a finished or final work product.
• They are not legal advice, not medical advice, and not a substitute for a medico-legal expert report where one is required.
• AI can make mistakes: outputs may contain errors, omissions or mischaracterisations despite our citation and quote-verification checks.
• A qualified fee-earner must review, verify against the source records, and approve every output before it is relied upon, disclosed, served or filed. The human-review gate is built into the product for this reason.
• You remain professionally responsible for any work product you produce, file or serve. Med-Legal is a tool that assists you; it does not exercise professional judgement.

9. Intellectual property

You own the records you upload and the output you generate (and your client’s underlying rights are unaffected). We grant you a licence to use the outputs for your matters. We own the Med-Legal platform, software and branding; nothing here transfers those to you. Outputs are firm-neutral so you can apply your own letterhead and brand.

10. Data protection

How we handle personal data is set out in our Privacy Policy. For the medical records you upload we act as your processor under a Data Processing Agreement (available on request), which forms part of these terms. We use sub-processors (including a hosting provider in Germany and an AI provider) as described in the Privacy Policy.

11. Liability

Nothing in these terms limits liability for death or personal injury caused by negligence, for fraud, or for anything that cannot lawfully be limited. Subject to that:

• The service is provided on a professional-tool basis. Because every output must be checked and approved by you, we are not liable for any loss arising from reliance on an unreviewed or unapproved output.
• We are not liable for indirect or consequential loss, loss of profit, or loss arising from your own professional decisions.
• Our total liability to you in any 12-month period is limited to the fees you paid us in that period.

12. Term & termination

These terms apply for as long as you have an account. You can stop using the service and close your account at any time. We may suspend or end access for breach of these terms or non-payment. On closure we delete your records and outputs as described in the Privacy Policy; you should download anything you need first.

13. General

We may update these terms; we’ll change the date above and notify account holders of material changes. If any part is found unenforceable, the rest stands. These terms are governed by the laws of England & Wales and subject to the exclusive jurisdiction of its courts.
